Cancellation, Refund & Return Policy
Effective Date: August 27, 2026
Camp Evergreen™ is operated by Evergreen Adventure Group dba Camp Evergreen and dba GreenLeaf Adventures (“Camp Evergreen,” “we,” “us,” or “our”).
Camp Evergreen primarily provides educational excursions, travel experiences, recreational activities, STEM experiences, and group adventures. Because our excursions require advance commitments to airlines, hotels, transportation providers, attractions, venues, ticketing companies, and other third-party suppliers, cancellations may result in costs that cannot be recovered.
This policy establishes the cancellation, refund, travel-credit, and merchandise-return terms applicable to Camp Evergreen purchases.
1. Excursion Purchases
Excursion purchases are generally non-refundable.
When a participant cancels an excursion 14 or more calendar days before the scheduled start of the excursion, Camp Evergreen may provide a credit toward a future eligible Camp Evergreen excursion, subject to the terms of this policy and applicable third-party policies.
Cash, check, debit-card, or credit-card refunds are generally not provided for voluntary excursion cancellations.
2. Cancellation Less Than 14 Days Before an Excursion
No Credits. No Returns. No Refunds.
Cancellations made less than fourteen (14) calendar days before the scheduled start of an excursion are not eligible for a refund, return, travel credit, transfer, or other reimbursement.
This applies regardless of the reason for cancellation, including:
- Change of plans;
- Illness;
- Family emergency;
- Scheduling conflicts;
- Transportation problems;
- Failure to attend;
- Personal circumstances; or
- Other reasons preventing the participant from attending.
Because Camp Evergreen may have already committed funds to transportation, lodging, tickets, admissions, activities, staffing, meals, and other trip-related expenses during this period, no credit, return, or refund will be issued for cancellations within the 14-day period.
Nothing in this section is intended to waive or limit rights or remedies that cannot legally be waived under applicable law.
3. Cancellations 14 or More Days Before Departure
For cancellations received at least fourteen (14) calendar days before the scheduled start of the excursion, Camp Evergreen may issue a travel credit toward a future eligible Camp Evergreen excursion.
The amount of the available credit may depend upon:
- The timing of the cancellation;
- Amounts already paid to third-party providers;
- Whether tickets or reservations are refundable, transferable, or reusable;
- Applicable airline, hotel, transportation, venue, attraction, or ticketing policies;
- Non-refundable deposits or fees; and
- Camp Evergreen's ability to recover or reuse the value of the reservation.
A cancellation 14 or more days before departure does not automatically guarantee a travel credit for the full purchase price.
4. Third-Party Policies May Supersede This Policy
Camp Evergreen excursions may include services provided by third parties, including:
- Airlines;
- Hotels and lodging providers;
- Motorcoach and transportation companies;
- Museums and attractions;
- Sports venues;
- Performing arts organizations;
- Ticketing companies;
- Tour operators; and
- Other travel or activity providers.
When a third party establishes cancellation, refund, credit, change, expiration, or other restrictions applicable to a particular service, those third-party terms may supersede or control the applicable portion of this policy.
For example, if an airline provides only a future travel credit rather than a refund, the applicable airline credit rules may apply.
Camp Evergreen cannot guarantee recovery of funds that a third-party provider does not make available to Camp Evergreen.
5. Travel Credits
When a travel credit is approved, the credit may be applied toward a future eligible Camp Evergreen excursion.
Unless otherwise stated in writing:
- Travel credits are not redeemable for cash.
- Travel credits are not transferable.
- Travel credits cannot be used to purchase Travel Mart merchandise.
- Travel credits may have an expiration date.
- Travel credits are subject to availability.
- Travel credits may not be combined with certain promotions or discounts.
- Customers are responsible for any difference between the credit amount and the cost of the new excursion.
- Third-party credits, including airline or hotel credits, remain subject to the issuing provider's terms.
6. No-Show Policy
A participant who does not attend a scheduled excursion without timely cancellation will be considered a no-show.
No refund, return, or travel credit will be provided for a no-show.
Any exception will be determined solely by Camp Evergreen and may depend upon whether any funds or services can be recovered from third-party providers.
7. Illness, Emergency, or Unforeseen Circumstances
Camp Evergreen understands that emergencies happen.
Participants or their parent/guardian should contact Camp Evergreen as soon as possible when an unexpected circumstance prevents participation.
However, illness, emergency, or another unforeseen circumstance does not automatically create an entitlement to a refund or travel credit.
The 14-day cancellation rule remains applicable unless Camp Evergreen determines that an exception is appropriate or applicable law requires otherwise.
Customers are encouraged to consider appropriate travel insurance or other coverage for circumstances that may prevent participation.
8. Cancellation by Camp Evergreen
If Camp Evergreen cancels an excursion, affected customers will be notified and provided with the available options.
Depending on the circumstances, options may include:
- Transfer to a rescheduled excursion;
- Travel credit toward a future excursion;
- Application of recoverable amounts toward another eligible excursion; or
- A refund when required by applicable law or when Camp Evergreen determines that a refund is appropriate.
When third-party providers issue credits rather than refunds, Camp Evergreen may pass those credits to the customer subject to the provider's terms.
9. Changes to an Excursion
Camp Evergreen may modify an itinerary, activity, transportation provider, lodging arrangement, venue, attraction, or other component when reasonably necessary.
Changes may result from weather, safety concerns, transportation issues, venue availability, airline schedule changes, hotel availability, government restrictions, operational requirements, or other circumstances outside Camp Evergreen's reasonable control.
Camp Evergreen will make reasonable efforts to provide a comparable alternative when practical.
A change to an individual itinerary component does not automatically create a right to a cash refund.
Travel Mart — Returns & Exchanges
Camp Evergreen's Travel Mart offers physical merchandise and travel-related products.
All Travel Mart merchandise sales are final.
No cash refunds or refunds to the original payment method will be provided for Travel Mart merchandise.
Eligible merchandise may be exchanged only, subject to the following:
- The item must be unused and in original condition.
- The item must be returned within the applicable exchange period stated at purchase.
- Original packaging should be included when applicable.
- Proof of purchase may be required.
- Certain items may be designated final sale and ineligible for exchange.
- Exchanges are subject to inventory availability.
If the replacement item costs more, the customer is responsible for the difference.
If the replacement item costs less, no cash refund will be issued for the difference.
Damaged or Incorrect Merchandise
If merchandise is defective, damaged when received, or materially different from the item purchased, contact Camp Evergreen promptly.
Camp Evergreen will review the circumstances and, when appropriate, provide a replacement or other remedy consistent with applicable law.
10. Promotional Items and Credits
Promotional merchandise, complimentary gifts, bonus items, promotional credits, coupons, and similar benefits provided at no additional charge generally have no cash value and are not eligible for return or refund.
11. Applicable Law
Nothing in this policy is intended to eliminate, waive, or restrict any rights or remedies that cannot legally be waived under applicable federal, state, or local law.
12. Policy Changes
Camp Evergreen may update this Cancellation, Refund and Return Policy from time to time. The current version will be posted on the Camp Evergreen website with the applicable effective date.
Excursion-specific cancellation terms presented during registration or checkout may supplement this policy and will apply to that particular purchase.
