Camp Evergreen™ Terms & Conditions
Effective Date: August 25, 2026
Last Updated: August 25, 2026
Welcome to Camp Evergreen™, an educational adventure program operated by Evergreen Adventure Group™ (“Evergreen Adventure Group,” “EAG,” “Camp Evergreen,” “we,” “us,” or “our”).
These Terms & Conditions (“Terms”) govern your access to and use of the Camp Evergreen website, registration services, programs, camps, expeditions, educational experiences, travel experiences, and related services (collectively, the “Services”).
By accessing this website, submitting a registration, making a payment, purchasing a program, or participating in a Camp Evergreen program, you acknowledge that you have read, understood, and agree to these Terms.
If you are registering a minor, you represent that you are the minor’s parent or legal guardian or that you have appropriate legal authority to act on the minor’s behalf.
1. About Camp Evergreen
Camp Evergreen is an educational adventure program designed to provide students with experiential learning opportunities involving areas such as science, technology, engineering, aviation, aerospace, exploration, leadership, travel, and related educational subjects.
Program activities, itineraries, destinations, accommodations, transportation, instructors, speakers, facilities, and educational experiences may vary by session.
Camp Evergreen reserves the right to modify program details when reasonably necessary due to weather, safety considerations, transportation issues, venue availability, operational requirements, vendor changes, governmental requirements, or other circumstances beyond our reasonable control.
2. Eligibility
Eligibility requirements vary by program and session.
Unless otherwise stated for a specific program, participants must satisfy the age, grade, enrollment, and other eligibility requirements published for that program.
Camp Evergreen may require documentation confirming a participant’s age, grade level, school enrollment, identity, emergency contacts, medical information, parental or guardian authorization, or other information necessary for participation.
Camp Evergreen reserves the right to decline or cancel a participant’s enrollment if the participant does not satisfy the published eligibility requirements.
3. Parent or Legal Guardian Authorization
Participants under the age of 18 must have the required authorization of a parent or legal guardian before participating in Camp Evergreen programs.
The parent or legal guardian is responsible for:
-
Providing accurate registration information;
-
Completing all required authorization and health forms;
-
Providing accurate emergency-contact information;
-
Disclosing relevant allergies, medical conditions, medications, dietary restrictions, accessibility needs, and other information necessary for safe participation;
-
Ensuring required forms are submitted by applicable deadlines;
-
Reviewing program requirements and expectations with the participant; and
-
Ensuring the participant understands and agrees to follow Camp Evergreen rules.
Submitting false, incomplete, or materially misleading information may result in removal from a program without a refund where permitted by the applicable cancellation policy.
4. Registration
Registration is not considered complete until all required information, documentation, and applicable payments have been received and accepted by Camp Evergreen.
Camp Evergreen may establish enrollment deadlines, documentation deadlines, payment deadlines, waitlists, participant limits, and other registration requirements.
Space in a program may be limited. Registration availability is not guaranteed until Camp Evergreen confirms enrollment.
If a program reaches capacity, Camp Evergreen may establish a waitlist.
5. Program Fees and Payments
Program pricing will be displayed or otherwise communicated to the purchaser before enrollment.
Depending on the program, fees may include some combination of:
-
Educational programming;
-
Admission fees;
-
Activities and excursions;
-
Transportation;
-
Lodging;
-
Meals or designated meal allowances;
-
Program materials;
-
Staff supervision;
-

-
Other items specifically identified in the program description.
Unless expressly stated otherwise, participants and their families are responsible for personal expenses and items not included in the published program fee.
Payment schedules, deposits, installment requirements, balances, and deadlines may vary by program.
Failure to make required payments by the applicable deadline may result in cancellation of enrollment and/or forfeiture of amounts paid, subject to the applicable cancellation and refund policy.
6. Cancellation and Refunds
Cancellation and refund terms may vary by program.
Because Camp Evergreen may be required to make advance commitments to transportation providers, lodging facilities, attractions, educational institutions, instructors, venues, and other third-party providers, certain program expenses may become non-refundable once committed.
The cancellation and refund policy applicable to a specific program will control if it differs from these general Terms.
Camp Evergreen strongly encourages families to consider appropriate travel insurance or other coverage for eligible expenses.
Unless expressly stated otherwise, registration fees, deposits, convenience fees, processing fees, third-party fees, and other designated non-refundable charges may not be refundable.
7. Program Changes
Camp Evergreen makes reasonable efforts to operate programs according to published descriptions and itineraries. However, schedules and activities may change.

Camp Evergreen will make reasonable efforts to provide participants and families with material updates when practicable.
8. Transportation
Camp Evergreen programs may involve buses, vans, aircraft, trains, rideshare services, charter transportation, or other transportation arrangements.
Transportation may be provided directly by Camp Evergreen or by independent third-party transportation providers.

Participants may be required to remain seated, wear seat belts where available and required, follow boarding procedures, remain with their assigned group, and comply with applicable transportation rules.
Camp Evergreen is not responsible for delays, cancellations, schedule changes, traffic, mechanical issues, weather-related disruptions, airline disruptions, or other transportation circumstances outside its reasonable control.
9. Lodging
Programs involving overnight travel may utilize hotels, camps, dormitories, educational facilities, or other accommodations.
Room assignments and lodging arrangements may be determined by Camp Evergreen based on program requirements, participant age, gender or other appropriate operational considerations, accessibility needs, safety requirements, and facility availability.
Participants must follow all lodging rules and Camp Evergreen supervision requirements.
Camp Evergreen may remove a participant from lodging or a program if the participant engages in conduct that creates a safety concern, significantly disrupts the program, damages property, or violates applicable rules.
Parents or guardians may be responsible for property damage caused by their participant to the extent permitted by law.

Specific prohibited-item lists may be provided before each program.
Participants and parents/guardians are responsible for reviewing those requirements before departure.
12. Health, Medical, Allergy, and Accessibility Information
Camp Evergreen may require health and safety documentation before participation.

In an emergency, Camp Evergreen staff may take reasonable steps to protect a participant's health and safety and may contact emergency services, medical professionals, parents/guardians, emergency contacts, or other appropriate persons.
Parents and legal guardians authorize Camp Evergreen to seek emergency assistance for a participant when reasonably necessary, subject to the separate medical authorization and emergency-care documents required for the applicable program.

Participation in Camp Evergreen may involve inherent risks, including but not limited to travel, transportation, outdoor activities, recreational activities, physical activity, educational demonstrations, weather, unfamiliar environments, lodging, public facilities, amusement or recreational venues, water-related activities, and other activities associated with educational travel and adventure programs.
Participants and their parents or legal guardians may be required to complete a separate Participant Waiver, Assumption of Risk, Release, and Indemnification Agreement before participation.
These Terms do not replace or eliminate any separate waiver or release required by Camp Evergreen.
